Managing Confluence and Jira licenses across an organization is not as straightforward as it seems. As the number of users grows—and especially when external accounts gain access—it becomes difficult to instantly verify who is actually using the product and how effectively licenses are being consumed.

The SUMMARY in the Flexible User License solves this problem.
In this article, we’ll walk through the key charts and features available in the SUMMARY view, and explore how they can be applied in real-world scenarios to improve efficiency.

Dashboard View: Key Metrics at a Glance

At the top of the SUMMARY page lies the dashboard view, where critical metrics are displayed front and center.

You can instantly check the number of Confluence/Jira users, license tiers, remaining licenses, billing users, and total active users. Each number is clickable, taking you directly to the detailed admin page for deeper inspection—making real-time license monitoring effortless.

Pro tip

  • Compare the number of billed users under monthly or annual billing cycles with actual usage to prevent unnecessary costs.

  • Monitor active vs inactive users to build a clear case for license reclamation.

Confluence/Jira Access Users: Managing Internal and External Accounts

The Access Users chart shows everyone who can log into Confluence or Jira, split into managed accounts and external users. External users are those with non-managed email domains, grouped by domain for easier visibility.

This chart highlights potential risks: excessive external users may pose both security issues and license waste. From here, admins can drill down into account pages, remove unnecessary accounts, or adjust permissions as needed.

Pro tip

  • After projects end, review external accounts and clean up unused access to reduce both costs and security exposure.

Access Groups: License Allocation by Permission

The Access Groups table lists the groups with permission to access Confluence/Jira, along with the number of users in each group. Groups with zero users do not affect license counts, making it easy to distinguish which groups actually matter.

  • Use group data as input when prioritizing license allocation.

License Management with Flexible User License

This cumulative chart tracks the increase and decrease in users added to or removed from access groups over time. It’s a clear way to monitor license churn and predict upcoming budget needs. At the same time, it provides the basis for reclaiming underutilized licenses.

License Usage Status: Comparing Actual Usage vs License Tiers

The License Usage chart plots active users, license tier limits, and daily active users for direct comparison. With tooltips and legend-based highlighting, admins can zoom in on details and visualize changes over time.

This helps detect potential tier overages early—allowing for proactive adjustments before extra costs hit.

License Usage by Date: Trend Analysis for Planning

The License Usage by Date table gives a period-based breakdown of license tier, billed users, actual active users, and tier utilization rates. It also compares user count changes against the previous period—helping admins identify usage patterns at a glance.
